About EpsiDesk

Customer operations is the whole business here

EpsiDesk is part of the Epsi group. We run customer support, back office work and HR services for companies that would rather have specialists doing it than build the function from scratch.

WHO WE ARE

Part of the Epsi group, built to run other companies' customer operations

EpsiDesk sits inside the Epsi group as its customer operations business. Companies come to us when support, administration or HR work has grown past what they can sensibly staff and supervise themselves. We take the function on properly: the people, the shift cover, the training, the quality checks, and the reporting that shows whether it is working.

Today that is 269+ people across our global teams, working in delivery teams across multiple time zones so cover can follow a customer base rather than a single office day. Some of those teams sit on the front line for one client. Others handle document and administration work that a customer never sees but that decides whether their experience holds together. What they share is that this work is the company, not a department attached to one.

THE OPERATING BELIEF

Support is usually one department inside a larger business. Here it is the whole business.

That difference is not a slogan, it shows up in ordinary decisions. Our senior people spend their day on queues, quality and staffing rather than on support as one item in a wider portfolio. When something goes wrong outside normal hours, the person who answers has run a queue themselves. When a client asks why a conversation went badly, the answer comes from someone who read it. It also shows in where people can go. Support is a career here, not a stop on the way somewhere else, and that is the practical reason we can hold on to the people who have learned your product rather than teaching it again to their replacements.

  • Operations leadership whose only remit is delivery quality and staffing
  • A route upward inside support: agent, senior agent, team lead, quality, operations
  • Escalations reviewed by people who have handled the same queue
  • Client reporting written by the team doing the work, not assembled afterwards
  • Product knowledge that stays with us as people are promoted rather than replaced

WHAT WE RUN

Three lines of work, held to one operating standard

Customer support and call centre

Voice, email, chat and messaging handled by named teams who learn your product properly. We take the whole queue or a defined part of it, cover the hours your customers actually contact you, and route the cases that need your own specialists straight to them.

  • Inbound and outbound voice
  • Email, chat and social messaging
  • Escalation handling and callbacks
  • Multilingual cover across time zones

Back office

The processing work behind the customer experience: verification, document checks, data entry, order and account administration, reconciliation and case follow-up. It runs to written procedures with checks built into the process rather than bolted on at the end.

  • Document review and verification
  • Data entry and record maintenance
  • Order, account and case administration
  • Exception handling and follow-up

HR services

Administrative HR work handled as a service: recruitment coordination, onboarding and offboarding paperwork, employee records, payroll administration support and the day-to-day requests that fill an HR inbox. Useful when a company is growing faster than its HR function.

  • Recruitment coordination and scheduling
  • Onboarding and offboarding administration
  • Employee records and documentation
  • Payroll administration support

HOW TEAMS ARE BUILT

How a team goes from an empty seat to running your queue

01

We learn the work before we hire for it

Before any recruiting starts, we sit with your team and go through the real contact mix: what customers ask, which cases are simple, which need judgement, where the sharp edges are. That shapes the profile we hire against and the procedures the team will follow.

02

We hire for the queue, not for a generic seat

Language, temperament and judgement under pressure are tested before an offer, using scenarios drawn from your actual work rather than a standard script. Hiring for the specific queue takes longer at the start, and it is what avoids the replacements and re-training that follow a bad fit.

03

Training is on your product, not on support in the abstract

New agents learn your product, your policies and your tone, then work through recorded and simulated cases until their answers hold up. They do not reach a customer until a trainer and a team lead both agree they are ready.

04

Go-live is supervised, not announced

The first live period runs with a team lead alongside, tighter review on early conversations, and a short daily loop back to you on anything the procedures did not anticipate. Volume is added as quality holds, not on a fixed date.

05

Coaching continues for as long as the team runs

Reviews feed one-to-one coaching every week. Recurring misses become training material or a change to the procedure, so the same problem is fixed once for the whole team instead of corrected agent by agent.

HOW QUALITY HOLDS

What keeps quality steady when volume moves

Review across the whole conversation set

Traditional quality assurance reads a small sample and hopes it represents the rest. We use AI-assisted monitoring to look across every conversation, which means the reviews people spend time on are the ones that actually need a human eye.

Reviewers calibrated against each other

Quality only means something if two reviewers score the same conversation the same way. Reviewers work to a written rubric and are re-calibrated on shared cases, so a score means the same thing this month as last.

Team leads close to the floor

Every team has a lead who handles escalations, listens in live, and coaches the same day rather than at the end of the month. Problems are cheapest to fix while the conversation is still fresh.

Knowledge kept current, not archived

Answers, policies and edge cases live in a knowledge base the team maintains as part of the job. When your product changes, the change reaches the floor before customers ask about it.

Reporting you can interrogate

You see how the work is going, where the volume is coming from, what is being escalated and what customers are unhappy about, with the underlying conversations available rather than summarised out of reach.

AI IN DELIVERY

AI takes the repetitive half. People keep the judgement.

We fold AI into how the work is delivered, and we are specific about where. It reads everything, drafts, routes, retrieves and forecasts. It does not decide how to treat a customer who is upset, and it does not answer in our name without a person agreeing to what it said. That line is deliberate: it is what lets us hold cost per contact down while quality stays consistent, instead of trading one for the other.

Quality monitoring across every conversation rather than a sample, so review time goes where it matters
Automatic summarisation and wrap-up, so agents spend their time on customers instead of on notes
Drafted replies that a human reads, edits and approves before anything is sent
Intent routing, so a case reaches the person equipped to close it the first time
Knowledge retrieval that puts the right policy or answer in front of the agent while the customer is still on the line
Trend and dissatisfaction detection across the contact set, surfacing the issue behind a run of complaints
Forecasting and scheduling, so cover is planned against expected volume rather than last month's guess

WORKING WITH US

The questions companies ask before handing over a queue

Three packages. Starter is priced per support agent, for a company putting its first dedicated agents in place. Team is a managed pod with agents, a team lead and quality built in, for steady volume. Enterprise is tailored and charged per active customer rather than per agent. Which one fits depends on your volume and how much of the function you want us to own, so we quote after a call rather than from a table.

Talk to the people who would actually run it

A first call is a working conversation, not a pitch. Tell us what the queue looks like now, where it hurts, and what you want it to look like in six months, and we will tell you plainly whether we are the right people for it. Email Support@epsidesk.com or book a call.
