HR teams tend to be small, and administration takes up much of their week. Posting roles and sourcing candidates. Reading CVs. Booking interviews around everyone's calendars. Chasing onboarding documents. Answering the same handful of employee questions. Preparing payroll input against a hard deadline. None of it is optional and none of it waits for a quieter week.

EpsiDesk staffs that work properly. We run it as an operation with named people, written processes and a supervisor who owns the queue. We are 269+ people across our global teams, and HR services is one of three things we do, alongside customer support and back office. The point is simple: your HR lead should be spending their time on hiring decisions, performance and the people themselves, not on the paperwork underneath them.

Recruitment support and candidate sourcing

We post roles on the channels you already use, search and build candidate lists against your brief, run first contact and keep the pipeline tidy in your applicant tracking system. You set the brief, and every hiring decision remains yours.

CV screening and interview scheduling

Applications are read against the criteria you give us and put in front of your hiring manager as a shortlist with notes, not a folder of attachments. We then take the calendar work: proposing slots, sending invitations, rescheduling, reminding candidates and confirming panels across time zones.

Onboarding and offboarding administration

New joiner packs, document collection and chasing, offer and contract paperwork prepared for your signature, access requests raised with your IT, first-week schedules booked. Leavers get the same discipline in reverse: checklists completed, access flagged for removal, exit paperwork gathered and filed.

HR helpdesk for employee questions

A staffed inbox and chat queue for the questions employees ask every week: leave balances, policy wording, letters and document requests, payslip queries, how to claim something. Routine questions are answered from your documented policies. Anything needing judgement goes to your HR lead with the context already gathered.

Records and document administration

Employee files kept complete and current: contracts and amendments, certificates, visas and permits, appraisals, training records. We track expiry dates and raise them before they lapse, and we keep the filing structure consistent, so finding a document is a search rather than a hunt.

Payroll input preparation and attendance administration

We prepare the monthly payroll input: attendance and timesheet checks, leave and absence records, overtime and shift data, joiners, leavers and changes, reconciled and handed to your payroll owner in the format they need, on their cut-off date. Your payroll provider or finance team runs the payroll itself.

Policy support

We keep your handbook and policy documents current in the one version everyone reads from, roll out changes, track acknowledgements, and answer employees from the approved wording rather than improvising. Where a policy needs drafting or amending, we draft to your instruction and your HR lead approves it.

Scoping call

We go through the HR work you want off your desk, the volume behind it, the systems it lives in and who signs off what. We tell you where we would start, and what we would leave with you.

Process capture and access

We document each task the way you want it done: the steps, the wording, the approval points and the escalation route. That document becomes the desk's operating manual and the basis for quality checks. Access is set up in your systems, under named accounts you create and can revoke.

Pilot

A first group of tasks goes live with a small team while your HR lead reviews the output closely. Wording, thresholds and escalation rules get corrected while the volume is still low and mistakes are cheap.

Full running

The desk takes the agreed scope, with a supervisor accountable for the queue and reporting you will actually read: what came in, what was completed, what was escalated, and what is stuck and why.

Review

We meet on a set rhythm to look at volumes, recurring questions and anything the process handles badly. Scope moves as your headcount and hiring plans move.

Where AI earns its place in HR administration

HR administration is repetitive, high in volume and unforgiving of small errors, which is exactly the shape of work where AI helps. We fold it into our own delivery, behind our people, to hold cost per task down and keep quality consistent. It drafts, sorts, summarises and checks. A trained team member decides, and nothing reaches an employee, a candidate or your payroll file without a person approving it.

  • Structured summaries of applications against your criteria, so a recruiter reviews a shortlist rather than a folder of PDFs.
  • Drafted answers to employee questions, taken from your approved policy wording, edited and sent by the person handling the ticket.

  • Quality monitoring across every helpdesk conversation rather than a sample, so coaching is based on the whole picture.
  • Trend detection across incoming questions, which shows you which policy is unclear before it becomes a grievance.
  • Forecasting on interview and helpdesk volume, so the desk is staffed for a hiring push instead of catching up after it.

Where our role ends, stated plainly

EpsiDesk supports your HR operations. We are not the legal employer of your staff, and we do not give legal or regulatory advice. Employment decisions, disciplinary outcomes, terminations, contractual terms and anything carrying legal weight stay with you and your own advisers. We prepare, administer, chase and record. You decide.

That is not a disclaimer buried at the foot of a page. It is how the desk is built. Every process we run has a named approver on your side for the points that matter, and our team is trained to stop and escalate rather than improvise when a question crosses that line.

  • Employment decisions, including hiring, promotion, discipline and termination, are yours.
  • Contracts, letters and policies are issued in your name and on your approval.
  • Legal and regulatory questions go to your own advisers, never answered by our team.
  • We prepare the payroll input; your payroll provider or finance team runs the payroll.

How employee information is handled

HR data is among the most sensitive information a company holds about its own people, and it is treated that way. The controls are practical, and we will walk you through every one of them on a call.

Work happens inside your systems, under named accounts you create and can revoke at any time.
Access is limited to the team members assigned to your desk, at the permission level their tasks actually require.
Actions leave a trail in your systems, so you can see who did what and when.
Our team works to your data-handling rules and confidentiality terms, and signs up to them individually.
Documents are not copied to personal devices or personal accounts.
When someone moves off your desk, removing their access is part of the handover, not an afterthought.
